Creating An Internet Update File
Very basic knowledge of Microsoft Excel is required to create an Internet Update file.

Before creating file, gather your product information together. The more information you have the better (e.g. tasting notes, ratings from wine magazines or wine guides, food matches, etc.).

If you will be hosting the Internet Update file on your own web site, ensure you have the logon name and password.

1. Create A New Worksheet
Start Microsoft Excel with a blank worksheet.

2. Create Column Headings
Insert the following headings into Row 1 (order not important):

Variety Vintage Score Bar Code
Brand Retail Price QR Name
Web Site Standard Size WR Date
Region Drink Start Food Match Note
Country Drink End Organic

Spelling is important and must match exactly. If a column heading is misspelled, the file cannot be processed by Wine Cellar II.

3. Add Wine Data
Add a row for each wine, completing as many columns as possible. Each vintage of the same wine has it's own row as if it were a different wine and can have it's own tasting notes and recommended drinking times.

The only columns that must contain values are Variety, Brand, Region, Country and Vintage (unless non-vintage). Click here for a detailed explanation of each column.

Your worksheet will look like this:

You do not need to apply any formatting to date or money values. However you can set the first row to bold if this makes data entry easier.

Spelling is very important. For example, if you use the misspelled word Chardonay, (rather than Chardonnay) this will create a new variety category in Wine Cellar II and your wines will not appear when searching for Chardonnay.

Older Vintages - You are encouraged to include previous vintages of wines - even those no longer available for sale - so that owners of these wines can see the tasting notes and recommended cellaring times. Each vintage of the same wine has it's own row in the Internet Update file as if it were a different wine.

4. Save The File With .wcu Extension
Save the spreadsheet in the normal way, except to give the file name the extension .wcu rather than .xls. The file format should be Microsoft Excel 97 & 5.0/95 Workbook or Microsoft Excel 5.0/95 Workbook.

If Excel adds the extension .xls, you must rename the file from within the Windows Explorer to remove it.

5a. Transfer The File To Your Web Site
If you do not have a web site or would like PMC Systems to host the file on their web site, go to step 5b.

You normally use a file transfer utility called FTP to transfer files to and from your web site. You ISP (Internet Service Provider) should provide instructions on how to do this.

Important: Always use the Binary transfer mode (rather than Ascii) when uploading Internet Update files.

Send an e-mail to internetupdates@winecellarsoftware.com telling us the name of the file and it's location on the Internet. We will check the formatting and set the file's location in the New Zealand winery master list.

5a. Or E-Mail The File To Us For Free Hosting
If you do not have a web site or would like us to host the Internet Update file for you, e-mail it as an attachment to internetupdates@winecellarsoftware.com.

We will check the formatting, upload the file to our web site and set the file's location in the New Zealand winery master list.

6. Add Our Logo To Your Web Site
You can add our logo to your web site:
